Make your estate agency promise measurable at every customer touchpoint

Choose one approach over a new slogan

The practical choice for an estate agency is to translate one promise into consistent arrangements for the intake, sales proposal, viewings, offers and evaluations. For example, choose ‘clear and predictable’ and determine at each touchpoint what you explain in advance, what information the customer receives, who is responsible and when follow-up will take place. This prevents ‘personal’ or ‘transparent’ from depending on a single employee. The ACM sources concern sales to consumers and not estate agency services specifically, but they do indicate the relevant minimum standard: important information must be accurate, complete, comprehensible and easy to find. Therefore, do not use this source as a full legal assessment for your agency, but as a reason to make your customer information more concrete.

Make follow-up a measurable customer touchpoint

Use a simple customer touchpoint register. For each stage, record: the expectation you set, the information you provide, the owner, the agreed follow-up time and the file check. A useful entry is: ‘Intake — seller receives a summary of the objective, proposed steps and next decision within one business day — owner: handling estate agent — check: summary is in the file.’ Repeat this for the sales strategy, viewing updates and offer guidance. This tool makes deviations open for discussion: a colleague can deliver the same promise without copying the personal tone. For every stage, record the customer promise, responsible person, agreed follow-up time, file evidence and the decision in case of a deviation.

Test the language and handover before publishing the promise

Read your website, proposal and standard emails side by side, and ask of every sentence: does a seller understand what this means for their file, what may change and when they will hear from us? The government information provided on cosmetic procedures is not a standard for estate agency services; it merely supports the general communication principle that information can be provided clearly, both verbally and in writing. Therefore, do not draw medical or legal conclusions for your services. Then have a second employee review a file handover: can they continue on the basis of the recorded arrangements without an explanation from the first employee? The sources provided do not describe an individual legal, financial or professional assessment of an estate agency file; therefore, have applicable rules and special customer questions assessed separately.
