Choose the data route before the AI application
First choose one clearly defined file step in which data is retrieved directly from the original storage location, with the consumer’s consent. That is a useful minimum standard for an AI pilot: do not let the application work from a separate copy whose origin and processing are unclear. Make the advisory software and CRM chain testable

Treat verification and explanation as part of the process

Therefore, for each AI-supported file step, record what was checked, by whom and what was decided afterwards. Use this decision log: for each AI-supported file step, record the original data source, consent/status, responsible reviewer, check performed, deviation identified, and documented follow-up or advisory decision. This ensures an outcome can later be traced back to its source and human assessment.
